These are our requirements & conditions of hire and usage of the AMB MX Transponder Timing System from ‘Timing Tech’
We supply all the operators of the equipment, but we may need assistance from the organizers to assign the transponders at documentation/sign-in, and check details during practice & racing if necessary.
The transponders all have unique ‘pin numbers’. When they are fitted to a vehicle, each transponder emits a unique signal to the timing loop, which is set up above or below the finish line. These signals pass along a coaxial cable to the decoder, where they are translated into results and passed onto a computer.
As each transponder needs to be programmed with each competitors details, as many entries as possible should be supplied to us 4-7 days before an event, but a few on day late entries can be handled at an additional $10 + GST per entry. We also need approximate times for documentation/sign on, classes, qualifying & race schedule, 4 to 7 days before the event.
At documentation/sign-in each competitor is assigned a transponder for which he/she signs that he/she will be responsible for its mounting on the vehicle, & return it at the end of racing, before leaving the venue, in undamaged condition. This makes the competitor responsible for repair or replacement of the transponder if not returned or damaged. Their replacement value is approx $550.00 each.
We have 310 transponders available for hire. Fitting instructions are available for correct fitting. We may need more contact details of competitors who have not returned or may have damaged their assigned transponder. We will not be responsible for manual lap scoring vehicles without an AMB MX transponder fitted. ‘Own your own’ transponders are available for purchase from Mylaps Australia.
Information that can be provided include qualifying times, overall & class race results, elapsed time of races, best lap times & on which lap, average speed (where the circuit lap distance is known) all within a few minutes of the end of each race. A printer will provide hard copy results.
A ‘Race-Monitor’ programme relays from the timing system, the actual “going race” to wireless or wired network, to other computers & monitors to 300 metres distant (depending on conditions). This information is useful to a commentator, race officials or competitors signaling crew with details such as position in race, average speeds, lap times, a competitor gaining or losing position in the race, etc.

MINIMUM CHARGE:
60 Entries plus any applicable travel & accommodation costs.                                    
TRAVEL:
Travel – 50cents + GST per km & accommodation at $100.00 per night are additional.
SPECIALS:
2 day events, or 3 round series with 150 or more entries, travel/accommodation charges will be waived. 

PAYMENT – Against an invoice is required within 14 days of event.
Accounts overdue are liable for penalty interest at 15%.
TRANSPONDER HIRE: (Clarification)
Please note that if the same bike/transponder is being used in two classes then both entries are subject to the processing fee, but one transponder hire fee of $5.00+ GST per day will apply.
FAMILY DISCOUNT:
Three family members competing in same event, third member no processing fee will be charged.  Privately owned Mylaps MX transponders – no TX hire fee (must supply pin number).
DAY ENTRIES:
We have not been charging the extra fee for day entries, this was to give Club’s time to educate riders how it holds up the race meeting.   As of 1st August 2008 we will be charging a day entry fee of $10 per entry received on the day of the event (unless arrangements have been made with us prior to the event).
CANCELLATION:
Once an event has been booked/confirmed, then a cancellation fee of $250.00 will be applicable. Also any accommodation charges that we incur as a result of the cancellation, and any travel costs (50c + GST per km) if we have already departed for the event will be payable.

POSTPONEMENT:
If an event is postponed within 5 days of the event, then a postponement fee of $100.00 will be applicable.  Also any accommodation charges that we incur as a result of the postponement, and any travel costs (50c + GST per km) if we have already departed for an event will be payable.
